Association and Website Privacy Policies

Who we are

38 Signal Regiment Association (the “Association”) is a private not-for-profit membership association. This website http://38signalregiment.org (and its affiliated domain 38signalregiment.ca) is not an official site of 38 Signal Regiment (the “Regiment”), the Canadian Army, the Department of National Defence or of the Government of Canada. This website does not represent the views or policies of the Government of Canada, The Department of National Defence, the Canadian Army or 38 Signal Regiment. Submission of Forms and/or Comments

When visitors leave comments on the site we collect the data shown in the contact/comments form. We may also collect the visitor’s IP address and browser user agent string to help spam detection. Submission of contact, registration or other forms used on the site is protected by reCAPTCHA and the Google Privacy Policy and Terms of Service apply.

An authorized (registered) user of the site may have an anonymized string created from your email address (also called a hash) which may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your user profile, post or comment, your profile picture is visible to the public in the context of your post or comment.

Media

If you upload images to the website, you should be aware that uploading images with embedded location data (EXIF GPS) included allows visitors to the website to download and extract any location data from images on the website.

Cookies

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article (post), an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

Members of the Association: If you register as a member of 38 Signal Regiment Association, we may share your name, email address and other information with other members of the Association. The Association will not share your personal membership information with third parties for any purpose other than its original intent (i.e. registration as a Member of the Association) or for a use authorized by the Association Executive that is consistent with the purpose of the Association as outlined in its Constitution and Bylaws. The Association will not sell your personal membership information to third parties without obtaining your personal authorization.

Visitors to the Website: If you are a visitor to the website and submit a contact form, personal information including name, email address and comments submitted via the contact forms on the site may be shared with members of the Association. If you submit a contact form directed to the 38 Signal Regiment, that information is provided to the Regiment but may also be visible to the administrators of the Association website.

How long we retain your data

For users that register on our website (if any), we also store the personal information they provide in their user profile. All registered users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have a registered account on this site, you can request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

If you are a registered member of the 38 Signal Regiment Association, once your membership in the Association expires you can request that we erase any personal data we hold about you. If you do not request the Association erase your personal information, it can be retained by the Association for purposes of contacting you about the Association and related matters.
